Taking Messages
Be sure write down following details:
①Date
②Name of the caller
③Time of call
④Caller’s Time Zone
⑤ Name of the recipient
⑥Caller’s number-crew
⑦Actual message(do not abbreviate)
Repeat the message back to the caller to ensure that you get the accurate details.
All messages are to be considered urgent
Inform the recipient immediately as soon you locate him/her.
Ending a Telephone Conversation
Extend another offer to help-Ask, ”is there anything more I can help you with?” or Would that be all (name of the caller)
Help the caller with any last-minute request.
End the call-say, “Thank you for calling and have a pleasant day.”
Wait for the caller to hang up first before you put down the phone.
